Artist Tools: Enter Your Information Once, Let TheArte Build the Documents

An email arrives from a gallery: they'd like to see your portfolio. You're applying to an open call: they want a CV. A collector asked about two works: you need to send a price list. A piece just sold: time to prepare a certificate of authenticity.

Every time, the same information typed out again. The same images laid out again. Another round with a design programme. The hours you set aside to make work quietly turn into hours spent making documents.

That's why Artist Tools exists. The idea fits in one sentence: enter your information once, produce many professional outputs.

How it works

Two things already live on TheArte: your profile and your artworks. Artist Tools treats them as shared infrastructure.

You fill in your career data once, on the Artist Profile page: artist statement, biography, education, exhibitions, residencies, awards, collections, publications and projects. Your artworks are already in the database with title, year, medium, dimensions, price and availability.

Everything after that is automatic. You don't retype your exhibitions when building a portfolio. You don't re-enter dimensions when issuing a certificate. Update something in one place and every document generated from it is current.

What you can produce

Portfolio

Pick the works you want, put them in the order you want, choose a template — Minimal, Classic or Contemporary — and download the PDF.

The important part: you're not limited to one fixed portfolio. You can save different portfolios for different purposes. Gallery Portfolio, Open Call Portfolio, Selected Works 2024–2026… Each one stays saved, ready to produce an up-to-date PDF whenever you need it.

Prefer a link to an attachment? You can also generate a shareable web page instead of a PDF — one URL rather than a file too large for email.

Artist CV

A professional CV, generated automatically from your profile. Two formats:

  • Short CV — one page: education, selected exhibitions and awards
  • Full CV — two to four pages, with the sections you choose

Exhibition List

Your exhibitions are grouped into Solo Exhibitions, Group Exhibitions, Art Fairs and Upcoming Exhibitions. Download it as a standalone PDF, or let it flow into your portfolio and CV.

Certificate of Authenticity

Issue a certificate from any artwork page. The system pulls the work's details automatically — you only add edition information and any notes.

Each certificate carries a unique certificate number and a QR code. The QR code leads to a verification page on TheArte, which makes the certificate more than a PDF: it becomes a verifiable digital record. A collector or gallery can scan it with a phone and confirm on the spot that the work is yours.

Price List

Select the works to include; title, year, medium, dimensions, price and availability become a clean table.

There are two kinds: a Public Price List for open sharing, and a Private Price List marked confidential, meant for galleries and collectors.

Collector Catalogue

A portfolio tells your career story. A collector catalogue presents the works someone can buy. Large artwork images, prices, availability, artwork QR codes, a short biography, shipping and certificate notes, and a clear route to get in touch.

A sales-focused document you can send straight to a collector.

Instagram Card

Choose a work, choose a format — Post (1080×1350), Square (1080×1080) or Story (1080×1920) — and download a card that's ready to publish. Light or dark theme, artwork details shown or hidden.

No design software needed; the card is built in your browser instantly.

QR Code

QR codes are the bridge between the physical and digital sides of your practice. You can generate them for:

  • Your artist profile
  • Individual artworks
  • Portfolios you've shared
  • Your private viewing rooms

Download as PNG or SVG, so the same code works on screen and in high-resolution print. Add a QR code to a label in an exhibition, and a visitor who scans it lands directly on that work's page on TheArte.

Private Viewing Room

Select specific works, give the collection a name, and TheArte generates an unlisted link that isn't public anywhere on the site. Add a password if you want one. Set an expiry date if the conversation has a deadline.

You can write a welcome message, decide whether prices are visible, and include an enquiry button. You can also see how many times it's been viewed — which finally makes private collector conversations measurable.

Getting started

You'll find everything under Artist Tools in your artist dashboard.

Start with the Artist Profile page. Your CV, portfolio and exhibition list are all generated from that data, so every line you add there feeds every document that follows.

One small but meaningful tip: fill in the Medium / Materials field when you add an artwork (for example, "Oil on canvas"). That detail appears on certificates, portfolios, price lists and catalogues — leave it empty and your documents will look incomplete.
